Everything below reflects what PHI HR actually does today. Where something is not built, we say so — you should not find that out after you have bought.
Getting started
You can subscribe online through our secure payment provider, or send us an enquiry and we will set your company up for you. Either way, card details are only ever entered on the payment provider's own secure page, and a member of the team configures your company, plan and first administrator before inviting you in.
Yes, trials are available, but they are arranged manually by our team rather than created automatically. Tell us what you need on the enquiry form and we will confirm the arrangement with you directly.
Yes. Bulk employee import from a CSV template is available on Essential and above. On Basic you add employees individually or invite them to complete their own record.
Yes. The employee self-service portal is included on every plan. Staff maintain their own details, upload required documents, book leave, log training and sign contracts from any device.
No. PHI HR does not process payroll, produce payslips or submit anything to HMRC. You can optionally enable bank-detail capture so employee bank details are collected and stored securely for you to pass to your payroll provider — that is the extent of it.
No. There is no rota, shift scheduling or cover management in PHI HR today, and we would rather tell you that now than after you have bought it.
Contracts & e-signature
PDF only. You upload your own contract as a PDF and place the signature fields on it. DOC and DOCX upload, and generating contracts from a template inside PHI HR, are planned but not available today.
You place signature, initials, name, date, job title, company name and checkbox fields on the exact page positions. The employee signs first — drawn, typed or uploaded — and then your nominated authorised signatory countersigns. Both parties receive the completed document.
PHI HR captures a signature together with the consent text shown, timestamps, the signer's identity and device evidence, and a SHA-256 fingerprint of the exact document version signed. That evidence is retained permanently and cannot be edited. Whether a particular contract is validly formed is a legal question for your own advisers — we provide the record, not the legal advice.
You issue a replacement. PHI HR supports replacement and renewal contracts with full lineage (v2, v3 and beyond), and lets you supersede or void a contract. The original signed PDF and its evidence are never deleted.
Yes. An employee can reject or request a correction with a mandatory reason, and you can withdraw a contract that has not been signed. Every one of those actions is recorded in the contract history.
Yes. A delegated Contracts Officer can prepare and manage contracts while being provably unable to see bank, identity or pay data — enforced in the database, not just hidden in the interface. Nobody can administer or sign their own contract.
Leave
Leave requests, approval queues, running balances, half-days, UK public holiday calendars and supporting evidence on requests are included on all plans, including Basic.
Advanced Leave (Professional and above) is the entitlement engine: accrual modes, pro-rata, rounding, carry-forward with expiry, first-year and mid-month start rules, multi-week working patterns, FTE-based part-time entitlement, hours-worked accrual for bank and casual staff, restricted periods and senior approvals. If your workforce is all full-time and standard, you probably do not need it.
Yes, on Professional and above. Leave can accrue from hours actually worked, and worked hours can be imported rather than typed in.
Not as a dedicated feature. There is no term-time-only entitlement calculation or term-time contract automation in PHI HR today. Many term-time arrangements can be modelled with multi-week working patterns and FTE, but please talk to us about your specific arrangement before you commit.
Yes, on Professional and above. Restricted periods and blackout dates either warn or hard-block requests, with a controlled exceptional-request route that supports supporting evidence and senior approval.
Documents & compliance
No. PHI HR records, tracks and evidences the Right to Work, DBS and identity documents you hold, including issue and expiry dates, review status and approver. It is not a verification, checking or identity service provider, and it does not perform statutory checks on your behalf.
You set the first notice period at company level — 42 days by default — and PHI HR then sends automated reminders at 35, 14 and 7 days before expiry. Every send is logged.
Not unilaterally. Deletion is a request-and-approve flow, replacements retain the original, and the history is kept.
On Essential and above, PHI HR can suggest field values read from an uploaded document to save typing. It is assistive only: a human must review and confirm every value, and it does not verify or validate the document.
No. PHI HR records training and CPD — including verification status, certificates and expiry alerts — but it is not a course catalogue or a learning platform.
Plans & pricing
Basic is £29 per month for up to 10 employees, Essential £59 per month for up to 25, and Professional £99 per month for up to 100. Business plans are for organisations above 100 employees and are priced with you. Prices exclude VAT.
Basic covers up to 10 employees with 2 GB of document storage: employee records and history, the employee self-service portal, invitations and onboarding, departments and job titles, line managers, leave requests, approvals, balances and half-days, UK public holiday calendars, document upload, approval, expiry tracking and reminders, Right to Work, DBS and identity document tracking, qualifications, CV, training and CPD records, and the HR dashboard. It does not include employment contracts and electronic signature, Advanced Leave, bulk employee import or AI-assisted document capture.
Yes, on Essential and Professional: paying annually saves 20% (£566.40 and £950.40 per year respectively). Basic is monthly only, and Business terms are agreed with you.
Employee limits are the commercial terms of each plan. If you grow past your limit, speak to us and we will move you to the right plan.
Yes. Basic, Essential and Professional can be subscribed to online — card details are entered only on Stripe's secure payment page. Business plans are agreed and invoiced through our team.
Use the package finder on the pricing page: it asks about your headcount, whether you need to issue and sign employment contracts, and whether you have part-time, bank or peak-period complexity, then recommends a plan.
Security & your data
Employee data is stored in the United Kingdom, in AWS London. The web application itself is served over a global edge network, so we describe PHI HR as having UK data storage rather than claiming the entire service runs only in the UK.
Every table is company-scoped and membership-gated with row-level security enabled throughout, so a user can only ever reach records belonging to a company they are a member of.
We do not currently publish any security certifications, uptime SLA, penetration test report or backup and disaster recovery commitments. If your procurement process requires those, please ask us directly rather than assuming.
Not today. Access uses email and password with a secure reset flow, role-based permissions and audit logging. SSO and MFA are planned but not available.
Not yet. CSV import is supported inbound (employees and worked hours), but downloadable exports and reports are planned rather than live. Ask us if data portability matters to your decision.
No. There is no public API and no third-party integrations today.
